Personal Assistant Summary

The Personal Assistant will be the backbone of daily operations for the Director, facilitating efficiency and organisation. This is a dynamic position that requires a high level of professionalism, adaptability, and confidentiality. The ideal candidate will have a knack for meticulous planning and a passion for supporting creative professionals in a bustling environment.

Key Responsibilities for this Personal Assistant Role

  • Act as the primary support for the Director, managing a busy calendar, scheduling appointments, meetings, and events with careful attention to detail.
  • Coordinate travel arrangements meticulously, including bookings, itineraries, and all associated logistics, ensuring the Director’s travels are seamless and efficient.
  • Serve as the first point of contact for the Director, handling incoming communications, queries, and requests with discretion and professionalism.
  • Prepare and manage correspondence, documents, presentations, and reports, aiding the Director in maintaining excellent communication and record-keeping.
  • Assist in organising and planning projects, providing thorough research and coordination support to meet the firm’s creative and strategic goals.
  • Oversee and manage various personal and professional tasks for the Director, ensuring their focus remains on the firm’s critical creative endeavors.

Ideal Candidate for this Personal Assistant Role

  • Proven experience as a Personal Assistant, ideally within a creative or architectural environment, demonstrating a capacity to manage complex schedules and tasks.
  • Exceptional organisational skills and the ability to prioritise tasks in a high-pressure, fast-paced environment.
  • Strong communication skills, both written and verbal, with an emphasis on discretion and confidentiality.
  • A proactive mindset, with the ability to anticipate the needs of the Director and address them efficiently.
  • Competence in managing travel logistics and event planning with a detail-oriented approach.
  • Familiarity with office management systems, procedures, and basic accounting practices.
  • A strong support system to the creative process, understanding the unique demands of supporting high-level executives within the architecture industry.
