Office Manager and PA Role Summary
A leading real estate developer is seeking an exceptional Office Manager to join their growing team in South West London. This dual Office Manager and PA position supports both the in-house Interior Design Studio and Development team, ensuring smooth day-to-day operations, outstanding client service, and seamless project delivery. It’s a pivotal role within a fast-paced, design-driven environment.
About the Role
As Office Manager, you’ll be at the heart of the business—organising studio operations, managing schedules, assisting the directors, and supporting ongoing development and interior design projects. Key Responsibilities
PA to Directors
- Manage Directors’ diaries, travel, and meetings with precision
- Oversee and prioritise email correspondence with clarity and discretion
- Act as the first point of contact for internal and external stakeholders
- Provide personal PA support, including household and family-related matters
Office Management
- Oversee the day-to-day running of the studio, ensuring a well-organised and positive environment
- Answer and direct incoming calls professionally
- Monitor shared inboxes, ensuring all queries are handled promptly
- Manage office budgets, supplies, IT systems, and software subscriptions
- Maintain administrative systems and processes for operational efficiency
- Plan and coordinate company events, socials, and client entertainment
- Oversee health and safety compliance, licenses, and insurance renewals
Project Support
- Support the operational lifecycle of active projects, ensuring tasks are completed on schedule
- Track team actions, follow up on deadlines, and maintain accountability
- Prepare agendas, take minutes, and circulate meeting notes
- Assist with procurement, documentation, and project reporting
- Liaise with external consultants, clients, and suppliers
Customer Care
- Manage the in-house customer care portal, ensuring efficient service delivery
- Act as primary client contact for post-project queries and support
- Coordinate with trades and suppliers to resolve issues swiftly and professionally
HR & Team Coordination
- Maintain staff records, contracts, and documentation
- Assist with recruitment, onboarding, and development administration
- Foster communication and collaboration across the team
The Successful Candidate
- Previous experience as an Office Manager or PA (property or design background desirable)
- Highly organised, proactive, and adaptable with excellent attention to detail
- Confident managing both business and personal responsibilities
- Exceptional written and verbal communication skills
- Comfortable working in a small, entrepreneurial, design-led environment
