Our client is a high-end interior design practice based in North West London and is seeking a strong Office Manager to join their small team to add structure to their day-to-day and be the face of the practice. You will work alongside the Director to lead the Operational, Finance and Administration side of the practice.

About the Office Manager role

  • Liaise with accountants and bookkeepers on accounts, VAT, payrolls, and client account reconciliations
  • Raise invoices, manage debt, and report; collate project and staff expenses; extract budgets, reports, and statements from Xero
  • Assist in preparing fee proposals and bid submissions
  • Manage IT, software, and telecoms with external IT consultant; oversee building maintenance, utilities, cleaning, insurance, and security
  • Handle key management and general studio operations, including post, deliveries, stationery, and cleanliness; greet visitors and organize company travel
  • Arrange staff gifts and client cards/gifts; plan company socials and monthly meetings; manage digital filing and office costs
  • Support the Director and team, fostering a positive work environment and providing occasional out-of-hours support
  • Onboard staff and freelancers, issue contracts, induct new starters, monitor annual leave, and address staff issues
  • Maintain and update Company Handbook, policies, and procedures; organise bi-annual employee review process; liaise with recruiters and HR legal advisors

What you will need for this Office Manager role

  • A minimum 3 years experience in a similar role within architecture and interior design practice
  • Excellent verbal and written communication skills
  • Strong can do attitude
  • Be well presented with highest level of professionalism, confidentiality and diplomacy
  • Proficient in Xero
