We are seeking an Office & Project Administration Assistant to join a large architecture practice in London. As part of a dynamic and multi-disciplinary team, the successful candidate will play a pivotal role in ensuring the smooth running of operations.

Key Responsibilities for this Office & Project Administration Assistant Role

  • Assist and support project teams in all project administration tasks
  • Take minutes for project meetings and workshops
  • Type or draft all correspondence, reports, etc.
  • Review documents for spelling, grammar, layout, and formatting accuracy
  • Administer project online document control sites
  • Dispatch correspondence, drawings, reports, and other material
  • Track and report on incoming requests for information
  • Produce reports on information due or late, chasing this from the team
  • Assist with tracking and updating fee schedules and invoicing
  • Scan drawings and print, bind, or copy project documentation as required
  • Provide general administration support for project managers and teams
  • Adhere to and furtherance of Quality Management Systems
  • Produce various reports for internal and client uses
  • Prepare and issue Contractor Administrator tasks
  • Maintain high standards of confidentiality regarding sensitive matters
  • Greet and welcome visitors, assisting with check-in to the building
  • Arrange meetings, book and set up meeting rooms, ensuring cleanliness
  • Answer incoming calls from reception
  • Order and maintain office stationery supplies and material for hand-drawing
  • Perform any other ad hoc duties as required.

  • Good interpersonal skills, able to work independently and as part of a team
  • Well-organised with excellent time management skills
  • Proficient in office software IT skills
  • Comprehensive knowledge of typical intranet and extranet systems
  • Professional and cooperative attitude with a high standard of delivery
  • Ability to prioritise work and perform under pressure
  • Excellent grasp of written English with a keen eye for detail
  • Willingness to expand knowledge and experience
  • Willingness to travel within the UK
  • Proficient in Microsoft Office (Excel, Word, and PowerPoint).
