PA & Project Secretary Role Summary
PA & Project Secretary opportunity within a well-established architectural practice, supporting a Senior Director in a pivotal, office-based role. This position suits an experienced PA who thrives in a fast-paced professional environment and enjoys being central to the smooth running of both projects and day-to-day operations.
The role is primarily PA-focused, providing high-level support to the Senior Director through diary, correspondence and travel management, while also delivering comprehensive project secretarial and office support. You will be confident managing multiple priorities, handling sensitive information with discretion, and acting as a trusted point of contact internally and externally.
Key Responsibilities
- Full diary and meeting management, coordinating complex schedules across multiple time zones
- Inbox management and correspondence drafting, acting as gatekeeper and primary point of contact
- Preparation of briefing materials, agendas and follow-up actions
- Organisation and support of onsite meetings, including room setup, IT and refreshments
- Arrangement of domestic and international travel, including flights, accommodation and itineraries
- Accurate logging of travel, events and related data across relevant platforms
- Planning and coordination of marketing and client events, including conferences, meetings and dinners
- Comprehensive project secretarial support, including document control, formatting, proof-reading and issuing of drawings and reports
- Assistance with expenses, credit card reconciliation and timesheet management
- Maintaining project records, folders and supporting fee proposals and new business activity
- Project-based research using planning portals, public records and local authority sources
- Support with RIBA CPD requirements, memberships and accreditations
- General office and administrative support as required
The Successful Candidate
- Previous PA and project administration experience within architecture or the built environment
- Proven experience managing diaries, inboxes and domestic and international travel
- Exceptional organisational skills with meticulous attention to detail
- Professional, personable and confident communicator with excellent written and verbal skills
- Proactive, discreet and trustworthy, with the ability to work autonomously
- Comfortable managing multiple priorities and deadlines in a busy studio environment

Working arrangement:
Monday to Friday, 9:00am to 5:30pm (office-based)
