One of London’s most prestigious architecture practices is looking for a project manager to help them deliver international projects using their excellent technical and management skills.

Key Responsibilities of this Project Manager Role:

  • Oversee project onboarding with the PC team, including preparing, translating, and filing briefing documents. Utilize new systems such as EDM, Sharepoint, and Teams chat. Adapt to new working methods and lead others to do the same.
  • Define scope and deliverables, review contractual terms, and manage delivery in line with client and contract expectations.
  • Create programme timelines to ensure deadlines and deliverables are met, flagging any issues to the Senior Project Manager.
  • Prepare independent scope documents to identify deliverables, roles, responsibilities, and potential risks. Maintain the Studio’s design ethos while meeting contractual terms.
  • Keep an active project risk register, identifying financial, design, and reputational risks, and preparing solutions. Escalate urgent issues to the Senior Project Manager.
  • Support project leaders in day-to-day resource management and ensure project financial health. Promptly address deviations from forecasts and create strategic plans to mitigate risks. Show flexibility and prepare alternative scenarios for discussion.
  • Lead re-forecasting strategies to find alternative solutions and deliver projects within budget.

Communication

  • Lead project setup and client negotiations, acting as the main point of contact. Bridge commercial, new business, and project goals, maintaining the Studio ethos.
  • Foster long-term collaborations with external partners, leveraging your experience to request support from Studio’s contacts.
  • Provide regular updates to the Senior Project Manager and monthly updates to the Group Leader on project status.
  • Compose and maintain project team organizational diagrams with the Project Coordinator, sharing them with the client as per contractual terms.
  • Lead consultant engagement and act as a point of contact for contract matters, providing strategic support to the PL and TDL on third-party coordination.
  • Work closely with the PL, TDL, and PC to ensure proper internal coordination and adherence to project protocols and Quality Assurance.

Financial Accountability

  • Set up, monitor, and approve resource plans and expenses, forecasting against actuals.
  • Collaborate with the finance team to review monthly budgets for GL approval.
  • Track actuals vs. forecasts, making strategic decisions on underspend vs. overspend.
  • Maintain accountability for the project’s financial health, knowing when to escalate decisions for GL approval.
  • Prepare documentation for contingency spending, determining when to release or move forward with contingencies based on project risks. Request internal approval for project overspend as needed.
  • Determine requests for additional services and project variations, prepare supporting documentation, and negotiate deviations from the contract with the client.
  • Work with the commercial team to prepare variations and present strategies for GL sign-off.

Skills necessary:

  • Previous experience working on complex global projects
  • Great problem-solving skills
  • Experience negotiating contracts in the UK and abroad – ideally USA, EMEA, Singapore and China
