We’re looking for a Studio Coordinator to play a pivotal role in ensuring the smooth day-to-day running of an architecture and interior design studio in South London.

About the Studio Coordinator Role

The Studio Coordinator will be managing day-to-day operations of the studio across facilities, administration, and communications, and providing crucial support to the Practice Manager and Directors

Key Responsibilities for this Studio Coordinator Role

Studio & Administration Management:
  • Monitor and action general/shared email inboxes, and handle all incoming telephone calls.
  • Maintain a presentable and inviting studio environment, greeting and looking after visitors.
  • Manage incoming post and packages, organise courier deliveries, and oversee studio supplies.
  • Coordinate internal meetings, ensuring meeting rooms are set up and refreshments provided.
  • Organise travel arrangements, insurance, visas, and expenses in collaboration with the Finance Manager.
  • Arrange studio CPD program, lunches/catering for in-house CPDs, and studio events.
  • Act as the main point of contact for external IT support and manage communications with staff.
  • Monitor Health and Safety arrangements, organise risk assessments, and ensure compliance.
Support Functions:
  • Assist project and procurement teams with relevant tasks as needed.
  • Manage the studio library, including online resources.
  • Provide personal assistance to the Directors, including managing email correspondence and booking travel.
  • Monitor tender portals and report relevant opportunities to the Senior Team.
  • Provide administrative support to the Quality Manager and maintain Quality records.
  • Coordinate marketing content and ensure website and sector presentations are up to date.
  • Assist with bids, presentations, and competitions as required.
  • Contribute to the development and improvement of operations, including the Office Manual.
Skills and Requirements for this Studio Coordinator role
  • Creative problem solver with high self-motivation and initiative.
  • Personable communicator with exceptional interpersonal skills, always approachable.
  • Highly-organised with meticulous attention to detail.
  • Proficient in multitasking, prioritising, and managing workload effectively.
  • Good Microsoft Office skills; knowledge of WordPress, Photoshop, and InDesign is advantageous.
  • Familiarity with architecture and interior design industries is beneficial
